Job Summary

The Legal Services Coordinator assists with department operations including, but not limited to administrative activities (including copying, typing, filing office supply management, calendar management and travel arrangements), assisting in training new hires on departmental administrative procedures, maintaining the department resource library and overseeing the use of off-site storage, and processing Outside Counsel Invoices and other organizational approvals.


Manages outside counsel invoices by liaising with outside counsel billing coordinators and the managing attorneys, ensuring L.A. Care’s Billing Guidelines are properly enforced, and routing invoices through approval by managing attorneys, General Counsel, and Finance. (40%)

Assists with developing, implementing, and managing the department’s administrative projects throughout the project lifecycle. Under supervision, implements work procedures and standards to improve efficiency and effectiveness of assigned legal projects. Provides clerical assistance to the legal department as needed, maintain the department resource library, office supply ordering, oversee the use of off-site storage and manage the resource invoices of the department. Assists in training department personnel on database management systems. (30%)

Maintain various logs including, but not limited to the department’s Policies and Procedures Logs, preparing published Policies and Procedures for filing with regulatory agencies; maintaining the department’s regulatory comment letter log. (10%)

Various other administrative support including document formatting, meeting coordination, copying, registering personnel for seminars and conferences, handling incoming and outgoing postal services. (10%)

Perform other duties as assigned. (10%)


High School Diploma/GED

Associate's Degree or Bachelor's Degree


With High School Diploma: At least 3 years working as administrative support in a law firm, in-house legal environment, or other professional setting.

With Associate's Degree: At least 1-2 years working as administrative support in a law firm, in-house legal environment, or other professional setting.

With Bachelor's Degree: At least 1 years working as administrative support in a law firm, in-house legal environment, or other professional setting.

Experience with legal or health care environments.


Flexibility to perform a variety of tasks.

Excellent organizational skills and creative thinking.

Proficient with Microsoft Office Suite (Word, Excel) and Share Point.

Strong data entry and filing skills.

Excellent communication skills including drafting correspondence, and ability to professionally communicate with Executive staff.

Superb ability to manage competing priorities.

Capable of learning systems, both processes and technology.

Must maintain confidentiality when required.
