Job Summary

Daily oversight of facilities services operations in L.A. Care occupied buildings including the coordination of facilities services in all of the  Community Resource Centers. Functional responsibilities include but are not limited to:  1) Manage and arrange the activity of assigned Facilities Service Associates to include hiring, coaching, counseling and performance evaluation; 2) Coordinate the routine daily activities and assignments including the completion of daily facility maintenance and service requests: mail sorting & delivery, room set-ups, Ergo equipment installations, employee relocations, shipping/receiving, ID badge, security, record storage/shredding services, pantry supply stocking, etc.; 3) Oversee office operations including liaison with building management for repairs, maintenance, heating, ventilation and air conditioning (HVAC) services, parking vendor, security and facility related matters; 4) serves as direct liaison with external vendors including janitorial services, carpet cleaning, vending machines, coffee services, parking operator, access badge security, CPR/First Aid training, storage and shredding,  etc.; 5) With the Safety & Security Specialist oversee administrative security measures including monitoring full operability of door access devices, surveillance cameras and physical locks in all LA Care locations; 6) In conjunction with the Safety & Security Specialist and the Risk & Safety team, maintain emergency response procedures, emergency supply inventory and serve as general safety warden.

Duties

Manages and arranges the activity and work assignments of assigned Facilities Service Associates for all LA Care facilities including the Community Resource Centers.  Assignments to include the completion of daily facility maintenance and service requests: mail sorting & delivery, room set-ups, Ergo equipment installations, employee relocations, shipping/receiving, ID badge, security, record storage/shredding services, pantry supply stocking, etc.

Primary liaison with landlord and/or building management for repairs, maintenance, HVAC services, parking vendor, security and facility related matters that are the responsibility of the landlord.

Management of external vendors including janitorial services, carpet cleaning, vending machines, coffee services, parking operator, access badge security, CPR/First Aid training, storage and shredding,  etc.

In conjunction with the Safety & Security Specialist and the Risk & Safety team,  to maintain the emergency response operational procedures to ensure employee safety in the event of an emergency.  Leads and/or participates in facility safety inspections, fire life safety preparedness and assists the Safety & Security Specialist  in maintain a complete emergency floor warden teams.  Maintains an inventory of emergency supplies, replaces expired items and ensures all workstations and offices have access to emergency supplies.

With the Safety & Security Specialist oversees administrative security measures including monitoring full operability of door access devices, surveillance cameras, physical locks and security guards to maintain the physical security of all LA Care workspaces.

Serves as the direct liaison with shredding and archive storage vendor to manage the destruction of PHI, run reports and work with departments to purge records after the mandated destruction date.

Responsible for the daily workflow and leading the work of assigned staff.  Participates in the hiring, coaching, performance evaluation and counseling of assigned Facilities Services Associate staff.  Supervises contracted vendors while working on LA Care premises.

Education Required

Associate's Degree
In lieu of degree, equivalent education and/or experience may be considered.

Education Preferred

Bachelor's Degree

Experience

Required:
At least 0-2 years of facility or general office maintenance experience.

At least 1-2 years of lead/supervisory experience. 

General experience in photocopier service and supply management.

Experience with moderately difficult work assignments requiring judgment.
 
Computer experience - Microsoft (MS) Office Suite including Word, Excel, PowerPoint, Outlook.

Skills

Required:
Ability to effectively and diplomatically oversee the work of assigned staff and outside vendors 

Ability to lift a minimum of 50 pounds, move furniture, packages and equipment 

Strong customer service orientation.
